How we handle personal data on solidground.xyz and through our forms.
SolidGround ApS (CVR 42316393, Copenhagen, Denmark) is the data controller for personal data collected through this website. This page summarises what we collect, why, and who else processes it on our behalf. Questions: info@solidground.xyz.
What we collect
We collect personal data only when you actively send it to us:
- Contact form — your name, email address, and the message you submit on the contact page.
- Newsletter signup — your email address when you subscribe to Notes from the seabed.
We do not run analytics, advertising trackers, or third-party cookies on this site. Server logs at our hosting provider record standard request data (IP, user agent, timestamp) for operational security; these logs are not used for profiling.
Why we collect it
- Contact form — to respond to enquiries about our services or research. Legal basis: legitimate interest in conducting business correspondence.
- Newsletter — to send occasional updates on Steno, publications, and project case studies. Legal basis: your consent (you can unsubscribe at any time via the link in every email).
Third-party processors
We use the following services to operate forms and email communications. Each is a data processor acting on our instructions.
- Web3Forms (Botspice Inc., USA) — receives contact form submissions and forwards them to our inbox. Web3Forms privacy policy.
- Loops (Loops Email, Inc., USA) — manages our newsletter list and sends emails. Loops privacy policy.
- Vercel (Vercel Inc., USA) — hosts the website and serves static files. Vercel privacy policy.
- Google Fonts (Google LLC) — serves the typefaces used on this site. Loading a font may transmit your IP and user agent to Google. Google privacy policy.
Some of these processors are located in the United States. Transfers outside the EEA are covered by standard contractual clauses and/or the EU–US Data Privacy Framework as appropriate.
How long we keep it
- Contact correspondence — retained while it is useful for ongoing work, then deleted within a reasonable period. Project-related correspondence is retained under the same rules as project files.
- Newsletter subscription — retained until you unsubscribe. Unsubscribed addresses are removed from active lists.
Your rights
Under the GDPR you have the right to access, correct, delete, or restrict processing of your personal data, to withdraw consent, and to lodge a complaint with the Danish Data Protection Agency (Datatilsynet). To exercise any of these rights, email info@solidground.xyz.
Changes to this policy
We update this page when our processing changes. The current version is the only version — we do not maintain a public changelog. If you want notice of changes, ask us by email.
